The Members and guests were welcomed to the meeting and the apologies duly accepted. The minutes were reviewed and agreed.

Newsletter

The Success of the Newsletter was reviewed and it was considered to be of considerable value to the community. Several issues having been raised as a result of the last distribution.

Summer Event

Considerable discussion took place with regard the Summer Event. The following is a bullet point summary of the points raised and activities considered.

Supervision of the children would fall to parents - all committee members to provide the necessary supervision for activities with the help of the Scouts and Cubs.
Provision of a 'Paint Tent' and toys for the children. Gareth offered to investigate the options.
Soft ball rounders match
An egg and spoon race
A three legged race
A Sack race
Prizes - Steve to negotiate with Tesco - Some discussions have already taken place
Possibly the organisation of a raffle
The arrangement for an Ice Cream Van to be available
Posters to advertise the event to be displayed. - Approximately £20.00 to be spent. Gareth offered to organise.
The Community Constable should be advised. - Gareth offered to oblige
Some Local history regarding the area and indeed information regarding the Wilton & Sherford community's history and activities will hopefully be of interest to the people attending.
A Parish map would make an interesting prize for someone and the possibility to sell some at the picnic
Cold Drinks - it was agreed that this is very necessary - Bob agreed to investigate the provision of supplying water
Stewarding will need to be carried out by all committee members
Toilets will be required - Steve is dealing with the matter and TDBC have said they will fund all or part of the cost. Waiting to here the final outcome.
Table and chairs will be required, it is anticipated that we would be able to borrow from the Church Hall. Transportation would be a problem but Bob offered to speak with his Son-in-Law with a view to using his van.

Crossing on Trull Road

There has been no movement to date on this issue. Steve is to pursue the highways department.

Barnardos

Steve has wrote to Bill Gair of Retirement Villages and is awaiting a reply, Bill was away on holiday at the time and we hope to have heard from him by the next meeting. No formal plans have been submitted at the time of this meeting.
The committee expressed general contentment with the development. However, there are still concerns over access and the possible creation of an insular community.

Cycle path, Churchill Way - Fons George

The Council has carried out a Risk Assessment but a confirmation letter from them is still pending. - Steve will remind them of this.

Any Other Business

1. The problems at Haines Park / Highgrove were discussed. Vandalism and car driving on the green have been a problem although they seem to have abated. Steve has offered to drop a note to the residents with regards organising a meeting to discuss the problem and explore a way forward. It was suggested that the local Community Safety Officer should be invited as well as the Local Councillors.

2. Garden Fires had been complained about by an anonymous person, Steve had checked this out with John Meikle and the Environment department had wrote back saying that there is not a smoke free zone in the area and that garden fires are permitted. However they also advised that they should not cause a nuisance such as preventing garden access or whilst people had washing out on the line. They have also offered to investigate any complaints. We are to add to the Web Site the detailed information received from the Council and the leaflet from the NSCA. Steve to organise.

3. As a result of the Newsletter an elderly women had written to see if we could assist with the tree's at the back of Vivary Road. They are blocking light and views. Steven had spoken with the Council who said that unless they were diseased or a danger then there was little that they could do. They have however agreed to look at the tree's and see what's possible. Steve to pursue with the Parks Manager.

4. Concern was raised over parking at Wilton Orchard. The charging has driven people to now park in area's which inconvenience local people. Phil agreed to talk to the Council.

5. The state of the path at the side of Sherford Stream had been raised by a resident because it was overgrown and the drain that takes water from the field was damaged or blocked. Steven had contacted the Council who came out straight away to clear the overgrowth and then marked the gully and drain for remedial works. Steven had said that there was a patch of land that we could look at opening up with help from the Council, Scouts, Residents and funding from Living Spaces. Steven asked the members to give consideration to areas that could be
improved using funding from Living Spaces.

6. A memorial map was to be sited near the entrance to the car park at Vivary Park in respect of Ted Softly. Phil and Bob have offered to sort this out.

7. FUNDING. Steve had spoken to David at the Council and David said he needs a copy of our latest accounts and a letter to be able to release the £200 or so towards the Associations running costs.

8. Steven reported that the Sherford Road issue had stepped up with the recent escapade of a HGV getting stuck. Apparently delivering new tractors to Cutliff Farm. It seems that Mr Parish may be operating a tractor selling business without the necessary planning permission. The council are to investigate. Steve will pursue with the Council and the Highways department. Also to stay in
contact with the Mountfields Association.
There being no other business the meeting closed at 9.30 pm.
