Present: Steven Holmes - Chairman Phil Parker - Treasurer Gareth O'Rourke - Vice Chairman Andy Hall Alwyn Lindley Bob Kirby Alan Wedderkopp Jean Allgrove - Mayor John Meikle Michael Dare Apologies: Nick Graves Alan Stoodley - Secretary Previous Minutes: The previous minutes were read and accepted by the committee. Summer Celebration: The planned summer celebration was discussed and the following points were agreed: The local team of Morris Dancers had been approached and they had said they would confirm if they could appear but if for some reason they were unable to then they felt that the Taunton team would probably come along. Gareth to follow up. Andy advised that we had not yet heard back from the Puppet show but that we should do so shortly. Cubs and Scout were confirmed as interested in doing something at the celebration and that they would advise the extent shortly. WSCA Local history table is being organised and Phil will confirm shortly if he is able to man this. Steve advised that a local resident who showed an interest in getting involved in this project had contacted the Association. Phil is going to make contact and advise back to the committee. Gareth said that he would try to recruit a couple of residents to help out with the Face Painting. Alwyn is going to investigate the County Scrap Stores to see if we can procure some arts and crafts materials for the day. The committee confirmed that a spend of around £10.00 would be OK. Gareth is going to contact the local Brownie leader to see if they would like to take part. Steven advised that he had enlisted a Samba Band to take part, which involved children from local schools. He asked the committee if we could provide a free drink and cake for them. The committee said this would be OK. Steven also confirmed that the Barbershop Quartet would be taking part. The expenditure for this event was discussed and Steven advised that the cost is going to be in the region of £300.00 to put the event on. The matter of whether we should be making a charge was raised but the committee felt that as this was the first event of this kind there should be no charge for entry. However it was agreed that we should have a donation tin on the History table for people to donate money to the WSCA funds. Public Liability insurance was raised and the committee felt that we should be guided by the Licence that is issued by the Council on the amount of cover required. Steven did point out that as we intend to run two or three events in a year that an annual cover could show a saving. Steven advised the committee that the Mayor had been invited to open the event as a local Ward Councillor and the Mayor of Taunton it was the right choice. The Mayor being present at the meeting intimated that this should be OK though she may only be able to stay for the first 20 / 30 minutes. The Mayor was invited to ask her chosen charities if they would like to take up a table at the celebration. The Mayor thanked the committee for the invitation and advised that she would ask them and advise back. Friends of Vivary and Wilton Lands. Steven advised the Committee that we now had a copy of the dates for the Parking on Wilton Lands by the Golf and Bowls Clubs. Steven also advised that he had been made aware that the second report from the consultants was about to be released and that a meeting for 29th July had been set for the Health & Leisure Review Panel. It was thought that this report would be on the agenda for that meeting. Steven advised that as soon as the report was available that he would telephone round to the other committee members and try to set up a brief meeting to discuss the report and to decide whether we should attend the meeting at the end of the month. Also Steven felt that this informal meeting would be a good time to tie everything down for the Summer Celebration so that the final plans could be drawn up. Banardos Steven advised the committee that the developers - Retirement Villages PLC, was waiting for the lawyers to cross the T's and dot the I's in respect of the Social housing. Once completed the development was expected to commence as soon as August. Alwyn asked if we could find out when the leylandii were going to be felled as they would offer some protection from noise and dust the longer they remained during the development. Steven said that he would ask the questions. It was raised that perhaps the developer may be interested in contributing to the Summer Celebrations as a P.R. exercise. Again Steven advised that he would ask the questions. A.O.B Queens Drive & Batts Park Steven advised that he had received a letter from Bob Kirby regarding the trees in Queens Drive & Batts Park he then handed over to Bob to explain in detail. Bob advised that the Flowering Plum and the Veriegated Yellow Acer trees were all subject to TPO's. Bob advised that the responsibility for these trees lies with the property owners in whose gardens they appear and that they should be reminded of their responsibilities under the TPO's. He aslo advised the committee that the Flowering Plums were mostly deseased and that the Veriegated Acer's were reverting to their native stock of Forest trees and that the Acers present the threat of growing too large for the area and possibly undermining foundations. Steven advised that he had spoken to Paul Bryan of TDBC and that the association would in conjunction with the Council remind the residents of their responsibilities. Bob has agreed to draft up a letter that will then be approved by Paul Bryan. The Association agreed that it would work in conjunction with the Council in this. The Wellingtonia trees in Batts Park were discussed, as one had to be felled after being struck by lightening in the past. Steven confirmed that the Council was about to enforce a replacement under the TPO with the householder for the Autumn. The residents of Batts Park were to be included in the letter reminding householders of their responsibilities for these trees. Community Audit Steven asked Andy if there was any updates on this and Andy advised the committee that the church had joined an organisation that knew more about carrying out a community audit and that Andy would report back to the committee in September / October. Sherford Stream Steven advised that at present he was no further forward in finding out who owned the path other than we had confirmation from TDBC that it was not theirs. Andy reminded Steven that the opposite path by the bridge was having the ground underneath it eroded by the stream during the winter months when it is high. He advised that this should be reported to the proper authorities before it became in danger of collapse. Steven agreed to carry this out. Crossing on Trull Road Again Steven advised the committee that he had not yet spoken to Stephen Martin - Scott about this and that he would endeavour to do this soon. Notice Board Phil is to chat to the people in Orchard house about the location then he and Steve will erect the board. Funding Phil has this in hand and is preparing the application to TDBC. Sherford Road Steven advised that as yet he had not heard from Highways. Councillors John and Jean both recommended emailing them to get a better response. Correspondence Steven listed the following correspondence as having been received and available for inspection. A letter from Mr Jeremy Abram of Rose Cottage, Sherford. A letter from Taunton Deane Play Association. The Crime & Disorder Partnership in Taunton report. There being no other business the meeting closed at 9:40pm.
